Privacy Policy
This policy explains what personal information CorpEase Inc. collects through CorpEase, why we collect it, who we share it with, and what you can ask us to do with it. We handle personal information in accordance with Canada's Personal Information Protection and Electronic Documents Act (PIPEDA).
1. Who is responsible, and how to reach us
CorpEase Inc., a corporation incorporated under the Canada Business Corporations Act (corporation number 1791878-0), is responsible for the personal information in its care. Privacy questions, access requests and complaints go to:

2. What we collect
About you
- Your name, email address and phone number, and the credentials securing your account — your password is stored only as a cryptographic hash, never as the password itself.
- Messages you send us, and our replies.
About your business, and the people connected to it
To prepare a filing and to keep the corporate records the law requires, we collect information about the business and about individuals connected to it — directors, officers, shareholders, incorporators and individuals with significant control. Depending on the filing and the jurisdiction, that includes names, home addresses, dates of birth, citizenship or residency, shareholdings, and the dates on which someone took or left a role.
Some of this is personal information about people other than you. Corporate statutes require a corporation to record it — for example, a register of individuals with significant control is mandatory both federally (Canada Business Corporations Act, s. 21.1) and in Ontario (Business Corporations Act (Ontario), s. 140.2). When you enter someone else's details, you are confirming that you are entitled to give them to us for these purposes.
Payment information
CorpEase does not take card payments yet: the checkout in the incorporation wizard records the plan you chose without charging you. When card payments are switched on they will be handled by our payment processor, Stripe. We will receive a record of the payment — the amount, the date, and enough detail to identify the card, such as its last four digits — and will never see or store your full card number.
Technical information
Our servers keep ordinary access logs (IP address, browser, pages requested, timestamps) for security and troubleshooting, and we keep an audit record of significant actions taken in your account — who changed what, and when. That audit record exists to protect the integrity of your corporate records, and is deliberately append-only.
3. Why we collect it
- To create and secure your account and to let you sign in.
- To prepare, submit and track your government filings.
- To maintain the corporate records and registers your business is required to keep.
- To calculate your filing deadlines and send you reminders.
- To take payment, issue receipts, and keep the financial records we are required to keep.
- To answer your questions and provide support.
- To protect the service against fraud and abuse, and to meet our legal obligations.
We do not use your information to build advertising profiles, and we do not sell it. If we ever wanted to use it for a purpose not described here, we would ask you first.
4. Consent
By giving us information and using CorpEase, you consent to us handling it as set out in this policy. You can withdraw your consent at any time, subject to legal and contractual limits — but much of what we hold is what makes the service work, so withdrawing consent may mean we can no longer act for you. Information already filed with a government registry cannot be withdrawn from it by us, and records we must keep by law will be kept for the required period.
5. Who we share it with
- Government registries. We submit your filings to Corporations Canada and the provincial registries. Some of what is filed becomes public record — a corporation's name, registered office and directors are published on the federal register, for example. What is public is decided by the registry and the statute, not by us.
Individuals with significant control deserve a plain answer here. For a federal corporation, Corporations Canada publishes an individual's full legal name, the dates they became and ceased to be an individual with significant control, a description of that control, and their address for service — or, if no address for service is given, their residential address. Their date of birth, citizenship and tax residence are not published. In Ontario the register is kept by the corporation itself and is neither filed nor published. - Service providers. Transactional email (Postmark), hosting, and — once card payments are switched on — payment processing (Stripe). They act on our instructions, only for the purposes above, and are bound to protect the information they handle for us. Our pages also load their typefaces from Google Fonts, which means your IP address and browser details reach Google each time a page loads; we use Google for nothing else.
- Where the law requires it. In response to a valid legal demand, or to protect our rights or someone's safety.
- A future business transfer. If our business were sold or merged, records could transfer with it. You would be told, and this policy would continue to apply until replaced by one no less protective.
6. Where your information is kept
Our application and database are hosted in Canada. The service providers named above — Postmark, Stripe and Google Fonts — process information outside Canada, principally in the United States. While information is in another country it is subject to that country's laws, and may be accessible to its courts and authorities under them.
7. How long we keep it
We keep your information for as long as your account is open and you are using the service, and after that for as long as we need it to meet our legal, tax and audit obligations. Corporate records we maintain on your behalf are kept for the periods the corporate statutes set; for a register of individuals with significant control, those statutes also fix a point after which the personal information in it must be disposed of. When information is no longer required, we delete it or render it anonymous.
8. How we protect it
Information is encrypted in transit. Access is restricted to the people who need it to do their work. Credentials we hold for government filing systems are encrypted at rest under a separate key, your password is kept only as a cryptographic hash, and changes to your records are recorded in the append-only audit log described above. No system is perfectly secure, but if a breach ever created a real risk of significant harm to you, we would notify you and the Privacy Commissioner as the law requires.
9. Cookies
CorpEase sets a cookie to keep you signed in, and your browser stores a few preferences locally. That is all. We do not use advertising cookies, and we run no analytics or tracking scripts. Our pages do load their typefaces from Google Fonts, as described in section 5.
10. Your rights
You can ask us to tell you what personal information we hold about you and how we have used it, to correct anything inaccurate, or to provide a copy you can take elsewhere. Write to support@corpease.ca and we will respond within 30 days. We may need to verify who you are first, and in limited cases the law allows or requires us to withhold information — if that happens, we will explain why.
If you are unhappy with how we have handled your information or your request, tell us and we will try to put it right. You can also complain to the Office of the Privacy Commissioner of Canada at priv.gc.ca.
11. Children
CorpEase is a service for businesses and is not directed at children. We do not knowingly collect personal information from anyone under the age of majority except where they are named in a corporate record that the law requires the corporation to keep.
12. Changes to this policy
We will post any changes on this page and update the date at the top. If a change materially affects how we handle your information, we will tell you by email.
